Privacy policy

This page explains what information Raxx Trophy Vault collects through this website, why we collect it, and who helps us operate it.

Information we collect

We collect what you give us through the forms on this site. There is no account to create and nothing to sign in to.

  • Trophy enquiries: your name, email address, phone number if you provide one, city and state, details about your trophy, and anything you write in the message field.
  • Outfitter partnership enquiries: your operation name, contact name, email address, phone number, city and state, season, approximate number of hunters, and your message.
  • Authorized Raxx Trophy Vault Location applications from taxidermists: your shop name, contact name, email address, phone number, and city and state; plus your website, years operating, approximate mounts per year, and your message, if you provide them.
  • Security information: a hashed representation of your IP address, and your browser’s user-agent string.
  • Consent: whether you ticked the consent box, and when you submitted the form.

How we use information

We use what you submit to reply to you and to operate the site safely. We do not use it for advertising, and we do not build profiles about visitors.

  • To respond to your enquiry.
  • To assess outfitter partnership enquiries and Authorized Location applications from taxidermists.
  • To keep a record of enquiries we have received.
  • To protect the site from automated and repeated submissions.

Service providers

We use a small number of companies to operate this website. Each handles a specific part of how the site works.

  • Supabase — database hosting for enquiry records.
  • Cloudflare — form abuse and bot protection.
  • Resend — delivery of internal enquiry notifications.
  • Vercel — website hosting.
  • Each operates under its own applicable terms and policies.

IP addresses and security information

When you submit a form, we store a hashed representation of your IP address rather than the address itself. We use it to identify repeated submissions from the same source.

Your IP address is visible to the companies that carry your request — our hosting provider receives it in order to deliver the page, and it is passed to Cloudflare as part of checking that a submission is not automated. What we store in our records and what passes through the infrastructure serving this site are different things.

We also store your browser’s user-agent string, which describes your browser and operating system.

Cookies and analytics

Raxx Trophy Vault does not currently use advertising trackers or behavioural analytics on this site. We do not measure how you move around the site.

The security check on our forms, and the platform hosting this site, may use browser storage or cookies that are technically necessary for them to function.

The fonts used here are served from our own domain rather than from a font provider.

How long we keep information

We retain enquiry information as part of our business records and for the purposes described in this policy. How long a record is kept can depend on the nature of the enquiry and whether it develops into an ongoing business relationship.

Some information may also need to be retained for legitimate business, security, recordkeeping, or legal purposes.

Trophy records and scan files are kept for as long as Trophy Vault operates, and are not deleted on the basis of age, account inactivity, or payment status. If you ask us to delete a record, we remove the scan files and the details that identify you. We keep a limited record that the trophy existed and was deleted, including its Trophy ID and file checksums, as part of our business and security records.

Sharing information

Raxx Trophy Vault does not currently sell personal information submitted through this site.

Information is processed using the service providers necessary to operate the website. It may also be disclosed where required by applicable law or legal process.

Access, correction, and deletion

If you would like to ask what information we hold about you, request a correction, or ask us to delete information associated with an enquiry, please contact us.

We will review the request and respond as appropriate. Some information may need to be retained for legitimate business, security, recordkeeping, or legal purposes.

Changes to this policy

We may update this policy as the service develops. The version on this page is the current one, and the effective date above tells you when it last changed.
